Summary: This role involves comprehensive administrative support for construction financing activities, including processing payments, managing insurance claims, and coordinating project documentation. Highlights: 1. Support efficient construction financing activities 2. Manage hazard insurance claims and project documentation 3. Opportunity to recommend administrative procedure improvements **Administrative Duties** Process and release construction draw payments for residential and commercial developments, ensuring adherence to approved policies, budgets, schedules, and supporting documentation. Coordinate with lending officers, clients, inspectors/appraisers, contractors, and title company representatives to support efficient construction financing activities. Manage hazard insurance claims by reviewing contractual requirements and controlling draw disbursements against approved cost estimates until completion of works. Participate in new project budget evaluations and collaborate with lending officers to address and resolve outstanding conditions or concerns. Maintain approved contractor and vendor records while building effective working relationships with contractors and service providers. Monitor IRS\-reportable contractors and vendors to ensure accurate and timely preparation of 1099 reporting. Audit project and financial records to verify completeness, accuracy, and proper documentation control. Identify and recommend improvements to administrative procedures and overall operational efficiency. Carry out additional administrative tasks as assigned by management. Issue enquiries and information requests to subcontractors, suppliers, and utility service providers as required. Ensure all project documentation and correspondence are correctly processed, logged, and securely stored in electronic systems. Attend construction coordination meetings, prepare and distribute minutes, track action items, and follow up with clients and stakeholders. Compile and organize project handover manuals for submission to clients. Record, monitor, and coordinate the closure of snagging items and defects for newly completed properties. **Experience / Skill Set** Working knowledge of general office administration and basic accounting principles. High level of proficiency in computer applications, particularly the MS Office suite. Two (2\) to three (3\) years of administrative experience within the construction industry or a related field is preferred. Strong customer service focus with clear and professional written and verbal communication skills. Ability to work independently, conduct research, and resolve issues efficiently. Good understanding of professional telephone and email communication standards. Excellent organizational and time\-management skills with the ability to prioritize tasks and meet deadlines.
